Automation: Update Dataset or Records

The Update Dataset or Records action is helpful for when you have sets of information that need to be updated right after it has gone through an approval process. You can use this action when you want to update an entire row of a dataset or record entry when a ticket is submitted.

PREREQUISITE


You need to create a data table or a record table where the entry in the form will be reflected on the table.

Example:

We have a table for Employee Details, and we want to change a certain employee's entire data.



CREATE A FORM


We need to create a form that will update the table above.

- Employee ID
- Employee Name
- Department
- Mobile No.



CONFIGURING THE AUTOMATION


1. RULE TRIGGERS:

- On Status Assigned

2. CONFIGURATION

- RULES (Configure your own rules)
- ACTION (Update Dataset or Records)

Dataset or Records: refers to the table in your dataset / record.
Enable Has Dataset Filter and set the Condition.

DATASET FILTER

The fields in the Dataset Filter should always be the unique IDs from both the form builder and dataset / record, and the unique ID from the form builder should always match the unique ID of the dataset / column.

FORM MAPPING

The fields in the From Property should match the columns in the table.





SUBMIT A TICKET




From the table above, I want to update the Employee Name, Department, and Mobile Number of the employee whose ID is BAI-0002.

UPDATED DATA ENTRY





The value from the Employee Name, Department, and Mobile Number columns in the table has been updated with the values entered from the corresponding fields in the form.
