Workflow App: Process Flow

Last Updated: July 28, 2021

After designing your form, the next step is to decide who will process the information within the form, and how these data would be processed.

In the Process Flow designer,

The Process Flow designer consists of three main elements:
Actors: The users that interact with the case in the process. You can manage the Actors in your workflow by adding, removing, or switching Actors on the left side of the Process Flow designer.
Lanes: Also known as Process Steps, which is found at the topmost part of the Process Flow designer and represents the progression of steps in your workflow from left to right. You can also add and remove steps on your lane depending on your workflow.
Actions or Action Cards: The manner on how each Actor interacts with the data. Action cards can be dragged and dropped into the grid to map out your process according to which Actor should manage the case at a given Lane.

To design your process, follow these steps:

Step 1: Drag an Actor card from the left sidebar into the Process Flow and rename its Title.
Step 2:. On the topmost row of the Process Flow designer, add (+) a Lane and configure its properties. Adding a lane, means adding a step to your workflow process. Then, rename the step appropriately. This will also become the name of the Workboard where you can view cases in a specific lane.
Step 3: Drag an action card to the newly added lane. Then click on the card to configure its properties.

After configuring the properties for the Actor and Action cards in the Process Flow, you can now finally re-connect all the action cards

ⓘ NOTE: You can always add another lane if more steps are required for the approval of your process.

For more advanced actions, you can also add an Automation to your process. To do this, drag or move an Action card where the lane and the automation row meet. Inside the Action Configuration, click the (+) plus button to add an Automation Rule, then fill up the Rule Information (Name, Description). A wizard will open to help you configure the automation layer.
