Overview: Workflow App

On QuickReach, we define a Workflow as a set of information that all the users need to process in a set of defined actions. This is where the information goes through steps of approval and review. To give you an overview, building a workflow app comes into three parts:

1. Form Builder



Inside the Form Builder is the drag-and-drop interface which makes it easier for you to design your form. You can begin by adding columns and rows, followed by dragging elements from the toolbox at the left side inside the columns. For more advanced features, you can add table/grid, reference table and process table in your form. You can also add Header and Footer which can be configured in the Form Settings. After configuring all the columns in your form, you can also check out the form preview for web and mobile devices.

2. Process Flow



The Process Designer lets you decide who will process the information within the form, and how these data will be processed. The users that interact with the data in the process are compiled into what we call the Actors, and the manner in how they interact with the data are the Actions. You can add and configure steps that the form will go through and assign their type of lane status. These steps will become the name of your work board. For more advanced feature, you can also add an automation in your process with a wide range of selection for automated actions.




3.User Settings



The final step in creating a workflow is to assign and grant access to the actors, and set what each actor sees at each stage of the process that the form goes through. For this, the first thing that you need to do is to assign who your process viewers will be. After assigning the process viewers, set the type of permission (Write, Read, Hidden) you will assign to each of the users in each process steps.




Getting Started in Creating Your Workflow App



Before creating your Workflow App, make sure that you:
are a Builder user on your organization
are able to access the Builder view from the dashboard

Since Builders are the only users who can create Solutions, it follows that you must be a Builder to create a Workflow App.

There are two ways to create a Workflow:

Creating a Workflow via Solution Creation window
Creating a Workflow from the Solutions Management page

Method 1: Creating a Workflow from the Solution Creation window

Step 1: On the Builder Solution dashboard, click on either the Create button at the top of the page, or the + button beside the Search bar.

Step 2: Fill in the appropriate details for your Solution, then click on Create or Add Workflow.

Step 3: On the Add Resource window, make sure that you are under From Scratch tab and enter the appropriate details for your Workflow App, including its Name and Category.

Workflow Name: This will become the name of your workflow app as it appears on web and mobile
Category: composed of the departments where you will assign your app
Solution: A solution is a collection of workflow and record apps for a single purpose
Description: To give the users an idea of what the app is about (optional)
Tags: Tags are a way to organize and categorize your workflow apps when searching for them (optional)

Fill in the details for your Workflow App

Step 4: Click on Create, then click Proceed to start designing your Form Builder.

Method 2: Creating a Workflow from the Solutions Management page

Step 1: From the Solution Dashboard, select click the ⚙️ gear icon at any workflow. You will be directed to the Solutions Management page.

Step 2: From the top of the Solutions Management page, click on Add new Workflow or Record button.

Step 3: Select how you want to start creating your workflow app.

Start From Scratch: This will direct you to a blank form builder. After selecting this option, the next thing that you have to do is to select Workflow as your app, then fill-up the Form Details.
Use Template: This will direct you to a form builder with pre-defined fields. Same with Start From Scratch option, you have to select Workflow as your app after selecting this option. Next, a list of templates will appear where you have to select and download a template that you wish to use. Lastly, fill-up the Form Details

Step 4: Fill-up the Form Details. The form details are composed of the following fields:

Workflow Name: This will become the name of your workflow app as it appears on web and mobile
Category: composed of the departments where you will assign your app
Solution: A solution is a collection of workflow and record apps for a single purpose
Description: To give the users an idea of what the app is about (optional)
Tags: Tags are a way to organize and categorize your workflow apps when searching for them (optional)

After filling-up the form details, you will be redirected to the Form Builder.

Note: By default, going with Method 2 means that you will be "adding" a new Workflow App for that Solution. Learn how to add or remove apps from existing Solutions here.
