Setting Up Notification Management

I. Overview



Notification management simplifies and enhances communication, wherein users can create, set up, and configure notification templates that can be used in designing a workflow when you set up SLAs. This feature involves the process of prioritizing and delivering notifications to users through various mediums, such as in-app alerts and email.

Notification templates can be customized to ensure that the message is delivered or reaches the recipients at the selected medium and specified time. In this way, it improves efficiency by allowing the receivers to be notified and take prompt action whenever necessary.

These templates are editable and reusable, which makes it simpler to save time in creating a new one or formatting from scratch and can choose which notification templates you want to use in any workflow rather than configuring each one manually.


II. Setting Up Notification Management



Tenant users or users with Builder access can set up Notification Management, granting them access allows these users to fully control the notifications. This access enables them to customize notifications based on the receiver's roles and the intended message.

In this article, we will explore how to set up Notification Management that will maximize work efficiency to ensure important tasks are not missed.

Here are the steps to get started:

1. Accessing the Notification Management



On the dashboard, expand the sidebar that is on the left side of the screen.

Click on the Notification Management module to proceed into the setup interface.

2. Creating a Notification Template



On the Notification Management page, click on Add Notification to begin creating a notification template.

A Notification Configuration wizard will pop-up, prompting you to choose which medium you prefer to receive notifications. When choosing your preferred medium, you have the option to select all or just one.

Once you have selected the medium, it will be marked with a check. Click Continue to proceed.

3. Setting up Notification Fields



Set the Notification Name for easy identification of your template. When entering the Notification Name field, take notice that this field is required, and it has a maximum character limit of 50.

Specify which Receiver or type of user will get the notification. When choosing your preferred receiver, you have the option to select all or just one. Each receiver option serves a specific purpose, allowing you to customize your messages based on their roles and tasks.

Receiver Options:

Approver – a type of receiver which we send notifications to inform them about tasks that require their approval.
Viewer – a type of receiver with read-only access, notifications sent to them provide them with updates on a specific task.
Submitter – a type of receiver who initiates the request, notifications sent to these users provide them updates or confirmation to their request.

Custom – an option that allows you to specify a receiver by entering their email address in the field provided.

Create a Subject or title for the content of the notification. When entering the Subject field, take notice that this field is required, and it has a maximum character limit of 50.

Compose a Message or content of the notification.

Note: There are separate message fields for in-app and email notifications. Fill in the appropriate message field based on the chosen medium to ensure the recipient receives notification with related content.

When composing a message for email notifications, you can make use of the toolbar icons to customize your message.

Once you are done configuring the notification template, click on Create to save it.

You will be redirected back to the Notification Management page. Your template is now ready to use!

4. Managing Notification Templates



To monitor created notifications, you can view their Status, Name, Mediums, and Receivers in the notification management page’s notification list.

You can also perform the following actions on each notification by clicking the ellipsis icon: Edit, Duplicate, Deactivate, and Delete.
